Your privacy is important to us. This Privacy Policy explains how AttendEasy collects, uses, shares, and protects personal and biometric information in compliance with Google Play policies.

1. Information We Collect

• Personal Information: Name, email, phone number, student/employee ID, course or department details.

• Biometric Data: Facial images and derived facial embeddings, collected only for identity verification and attendance purposes.

• Device & Usage Data: Device model, operating system, app usage logs, IP address, and timestamps.

We do not collect unnecessary information beyond what is required for attendance tracking.

2. How We Use Your Information

• To verify identity and mark attendance.

• To generate attendance reports for authorized institutions.

• To improve system accuracy and prevent fraudulent check-ins.

• To ensure security, detect misuse, and maintain app functionality.

We do not use biometric data for advertising, profiling, or unrelated purposes.

3. Data Storage & Retention

• Raw facial images (if collected) are immediately converted into encrypted numerical embeddings.

• Both images and embeddings are stored securely in Google Firebase / Google Cloud Storage with encryption at rest and in transit.

• Data is retained only for as long as necessary to provide attendance services or as required by your institution.

• Upon request from the institution or user, data will be securely and permanently deleted.

4. Data Sharing

• We do not sell, rent, or trade personal or biometric data.

• Data is shared only with your authorized institution or employer for attendance purposes.

• We may disclose information if required by law, regulation, or legal process.

• We use trusted third-party services (e.g., Firebase, Google Cloud) for secure storage and processing.

5. Security

• All communication is encrypted using HTTPS/SSL.

• Biometric and personal data is encrypted in transit and at rest.

• Access to sensitive data is restricted to authorized systems and personnel only.

• Regular security reviews and monitoring are conducted to prevent unauthorized access.

6. Consent & User Rights

• By using AttendEasy, users (or their institution on their behalf) provide explicit consent for the collection and processing of biometric data.

• Users have the right to:

  • Request access to their personal data.

  • Request correction or update of inaccurate data.

  • Request permanent deletion of biometric and personal data when no longer required.

• Institutions are responsible for verifying and approving such requests.

7. Children’s Privacy

• AttendEasy is intended for use by educational institutions and organizations.

• Biometric data of minors is collected only with institutional and parental/guardian consent, as required by applicable law.

8. Changes to This Policy

We may update this Privacy Policy from time to time. Significant changes will be communicated through the app or via the institution. Continued use of the app after changes indicates acceptance of the updated policy.
